Privacy and Cookies Policy

Secure Check-In is part of Sports Payment Solutions Limited. This Privacy and Cookies policy will explain how our organisation uses the personal data we collect from you when you use our website.

  1. Secure Check-In collects the following data:
    • Personal information: name and phone number on check-in form
    • Business information: email address, business address and street address
  2. You directly provide Secure Check-in with all of the personal data we collect, when you register online for either a check-in account or a business account. You subsequently refresh our holding and processing this data when you check in and out of premises using Secure Check-In.
  3. Secure Check-In collects data for two purposes:
    • To enable a business to run Secure Check-In on their premises for NHS Test & Trace purposes.
    • To enable customers/visitors to check in and out of a venue, without repeated entering of data.
  4. Secure Check-In will only share your data with NHS Test & Trace upon receipt of a formal request, to allow for Covid-19 control. All reasonable precautions will be taken to protect all personal data during submission to NHS Test & Trace. We cannot, however, be held responsible for loss or misuse of data intercepted, or otherwise accessed by unauthorised persons, and exclude all liability for this.
  5. Secure Check-In securely stores your data on hardware within the European Union and may encrypt data at rest where possible.
  6. Secure Check-In will keep your contact details for 21 days, as required by NHS Test & Trace. Once 21 days has been reached we will safely destroy your data by deleting it from our database and software logs.
  7. Secure Check-In will send marketing updates with information about new products and services to businesses registered on our platform, any business registering on our platform will be automatically ‘opted in’ to marketing updates. You have the right to opt out of marketing emails at any time; to do so you can click on the ‘opt out’ link in every marketing email, or click here to contact us and update your preferences. No marketing emails will be sent to individuals registered on the platform for check-in purposes.
  8. To ensure you are aware of your data protection rights (GDPR rights), please see below your entitlements:
    • Access - You may request at any time a copy of your personal data from Secure Check-In. There may be a small fee for this.
    • Rectification - You can ask Secure Check-In to correct any inaccurate information, or complete any incomplete information
    • Erasure - You can ask Secure Check-In to delete your personal data under certain conditions. Please note, all data will be held for the 21 days required by NHS Test & Trace as per government request.
    • Restriction of processing - Under certain conditions you may ask Secure Check-In to restrict the processing of your personal data.
    • Objection to processing - Under certain conditions you can object to Secure Check-In processing your personal data.
    • Data portability - Under certain conditions, you can request Secure Check-In transfer the data collected to another organisation or directly to yourself. Please note, data is being collected for the purpose of NHS Test & Trace and will be transferred to them upon request.

A cookie is a small text file containing an identifier (a string of letters and numbers), sent by a web server to a web browser and subsequently stored by the browser. The identifier is sent back to the server each time the browser requests a page. In this instance, whenever you scan the QR code to check-in with Secure Check-In. They are also used to improve website functionality and provide advanced statistical data.

  1. Secure Check-In uses ‘functional’ cookies to ensure optimal user experience when checking in and out of venues.
  2. Secure Check-In uses Google Analytics to analyse website and platform use, and performance. This relies on cookies which collect anonymous information, and cannot be used to identify individual visitors.
  3. Secure Check-in will ask you upon your first successful check-in if you wish for us to save your details for future check-ins. If you select yes, a small cookie with encrypted data will wait on your device until you next check-in. Upon your next check-in this cookie will automatically synchronise with our system, providing your name and phone number; saving you from supplying these details each time.
  4. You can clear cookies from your browser, and instruct your browser not to accept cookies. This will mean you will be required to resubmit your personal details each time you check into a venue using Secure Check-In.
  5. Our website contains links to other websites, our privacy policy applies only to Secure Check-In.
  6. Our privacy policy, and cookies policy are under regular review. Any changes to this policy will be updated on this web page. This policy was last updated 24th July 2020.
